1. Who we are
InstaFence Ltd is responsible for the personal information collected through this website and our fencing enquiries. We are part of Premier Garden Supplies Ltd. This policy explains how we use information when you visit our website, request a quotation, use the pricing calculator or contact our team.

2. Information we collect
You may give us your name, email address, telephone number, installation address and postcode, project description, approximate measurements, number of fence bays, preferred materials, urgency and requested dates. We also receive photographs and other information you choose to send by email, WhatsApp, Facebook or the enquiry forms.
If you become a customer, we may keep quotation, booking, correspondence, invoice and installation records. We may receive details from another person arranging work for you; please ensure you have authority to share someone else’s details. Only send information and photographs relevant to the work. Avoid including identity documents or sensitive personal information in a general enquiry.
Website and hosting services may record technical information such as your IP address, browser, device, pages requested and security or error logs. If you accept optional analytics, Google Analytics may collect information about website visits and interactions. Third-party services are explained below.
3. Why we use information and our lawful bases
Enquiries, site visits and quotations: we use your contact and project details to respond, discuss suitable options and take steps at your request before entering a contract. If you are enquiring on behalf of an organisation or another person, our legitimate interest is handling that enquiry and communicating with the relevant contact.
Booked work and customer service: we use information to arrange and carry out an installation, communicate about the work and deal with aftercare. The basis is performing our contract with you; for business contact details and resolving general enquiries, we rely on our legitimate interest in managing the customer relationship.
Business records and security: we keep records required by applicable tax and accounting laws on the basis of legal obligation. We use relevant records and technical logs to protect the website, prevent misuse, investigate problems and establish or defend claims on the basis of our legitimate interests in a secure service and protecting the business.
Optional Google Analytics: our theme’s analytics integration uses your consent. You can decline analytics or withdraw consent through Analytics preferences in the footer. Withdrawing consent does not affect earlier processing carried out with consent.
Sending an enquiry does not sign you up to a marketing mailing list. If we offer optional marketing, we will explain the choice separately and provide a way to stop receiving it.
4. Contact forms and the pricing calculator
Our enquiry forms use Ninja Forms. The Contact & Quote Form includes a pricing calculator. Form information may be stored in the WordPress website where submission storage is enabled and sent to our team through the configured email service. WP Mail SMTP connects the website to the email-delivery service; it is not a separate quotation provider.
The calculator uses the options and quantities entered to display a guide price. A calculator result is not an agreed installation price or acceptance of a booking. We review your enquiry and the site requirements before confirming a quotation. The calculator does not make a decision about you with a legal or similarly significant effect.
You do not have to use the online form. You can call or email instead. We need enough contact and project information to respond and arrange work; without it, we may be unable to provide a quotation or carry out the requested service.
7. How long we keep information and how we protect it
We keep information for as long as it is needed for the purpose for which it was collected. For an enquiry that does not lead to work, we consider whether the enquiry is still active, whether follow-up is expected and whether a complaint or dispute remains unresolved. For completed work, we consider customer-service and warranty needs, accounting and tax requirements, and the time during which claims may arise.
We review records and remove or anonymise information that is no longer required. Technical logs, backups and analytics records follow the relevant service’s settings and operational needs. Backup copies may remain until the normal backup rotation removes them. You can ask us about the retention arrangements applicable to your information.
We use access restrictions and appropriate technical and organisational measures to protect personal information. No internet transmission or online service can be guaranteed completely secure. Please contact us promptly if you believe information sent to us has been compromised.
8. Your data-protection rights
Depending on the circumstances, you may ask to access your personal information, correct inaccurate information, have information erased, restrict its use or receive certain information in a portable format. These rights are subject to legal conditions and may not apply to every record.
Your right to object: you can object to processing based on legitimate interests. You can also object at any time to the use of your information for direct marketing. Tell us which processing you object to so we can consider your request.
Where we rely on consent, you can withdraw it at any time. Use Analytics preferences for the theme’s analytics or contact us for another consent-based use. 9. Complaints and changes to this policy
Please contact us if you have a concern about how we use your information. You also have the right to complain to the Information Commissioner’s Office, the UK data-protection regulator. You do not have to contact us first to raise a concern with the ICO.
We may update this policy when our services or use of information change. The updated policy will appear on this page; where required, we will bring a material change to your attention separately.
